WTE – Based On Hours/Weeks

 

Use the following steps to set up Whole Time Equivalents to be based on the Number of Hours Per Week, and Weeks Per Year an employee works, compared to the standard hours and weeks of the organisation:

  1. Personnel DefinitionsTerms and Conditions Whole Time Equivalent.
  2. Create a record with details as follows:

    a) Whole Time Equivalent – a five character user defined code.
    b) Description – free format to provide description of above code.
    c) Operator – set to Weeks and Hours Ratio.
    d) Hours/Week – set to number of hours the organisation works in a week.
    e) Weeks/Year – set to number of weeks the organisation works in a year.
    f) Rounding – can be either to round up/down based on the following field, or no rounding.
    g) Divisible By – if Rounding is up/down, then this field defines a figure by which the final salary             must be divisible – or the final figure is rounded up/down to nearest value divisible by value.
    h) Term Time Only  – leave blank.

  3. In HR Record Employment, the following fields must be set against the employee’s Employment History Records:

    a) Salary Grades
    b) Scale Point
    c) Whole Time Equivalent 
    d) Hours per Week
    e) Weeks per Year

  4. When an employee’s salary is calculated based on a Specific Review Date, the Annual Salary calculated will be adjusted by being multiplied by the hours and weeks that the employee works and then divided by the hours and weeks that are considered full time by the college.

 

 

 

 

WTE – Based On Hours (Full Time Weeks)

 

Use the following steps to set up Whole Time Equivalents to be based on the Number of Hours Per Week an employee works, compared to the standard hours of the organisation. The employee is assumed to work the full number of weeks per year of the college.

  1. Personnel and Posts menu – supporting elements select Whole Time Equivalent.
  2. Set up a record with details as follows:
    a) Whole Time Equivalent – This is a five character user defined code.
    b) Description – Free format to provide description of above code.
    c) Operator – set to Weekly Hours Ratio.
    d) Hours/Week – Set to the number of hours the organisation works in a week.
    e) Rounding – Can either be to run up/down based on the following field or no rounding.
    f) Divisible By – If Rounding is up/down, then this field defines a figure by which the final salary must                              be divisible – or the final figure is rounded up/down to nearest value divisible by value.
  3. In the employee’s Personnel record, the following fields need to be set against the employee Employment History – Active Primary Record:
    a) Salary Grade
    b) Scale Point
    c) Whole Time Equivalent
    d) Hours per Week
